I have submitted by Group Visit Request Form. Now what?

• Our Visitation staff will call you to discuss scheduling a visit.

When does CWU host group visits?

• Generally, we host visits during Fall, Winter, and Spring quarters. Visits are limited to weekdays with the visit running from approximately 10 am – 2 pm.
• Please keep in mind that Fall and Spring fill up quickly. In addition, during certain months, group visit dates may be limited due to campus-wide events, staff schedule conflicts/limited availability, or weather.
• Summer schedule varies year to year. Therefore, it is possible that we may not offer group visits during the Summer.

Are group tours only for students?

• Group tours are for students and their school chaperones.

How many chaperones are required for a group visit?

• All groups are required to provide 1 chaperone for every 10 students-no exceptions. Chaperones must stay with their group at all times.

What is the limit for school group attendees per visit?

• Due to staffing and room limitations, we generally cannot exceed 75 total guests (students + chaperones) per visit.
• For schools with 41-75 total guests, we are not able to lead a guided tour. Self-guided tour brochures will be made available.

What does the admissions presentation entail?

• The presentation is designed to explain admissions expectations. It’s a great time to ask questions about the admissions process.

What does the student panel entail?

• The student panel consists of 2-4 current students. They will conduct a 30-minute question & answer session with your students about campus life and are able to share general information about housing, dining, and even clubs and organizations.

What does the campus tour entail?

• The campus tour is a walking tour of our campus. Depending on each group’s schedule, the tour time ranges from 30 – 50 minutes and may include going inside some buildings.

Will we be going into residence halls?

• Group tours do not include a visit into residence halls. If a student would like to see a resident hall or showroom, the student needs to book a daily tour with us.

Will we be going into a classroom?

• If your group is receiving an admissions presentation or student panel, these will take place in one of our classrooms so students can experience a college classroom setting.

What if someone in my group has a disability?

• Central Washington University is committed to provide access, equal opportunity, and reasonable accommodation in its services, programs, activities, education, and employment for individuals with disabilities. Does CWU offer lunch to group visitors?

• We are not able to provide lunch for groups of any size. Our Dining Services Department offers lunch tickets. The average cost is $10 per person, which will need to be paid for at the time of service.

What if I am running late for a group visit?

• Please call or text us during travel if you expect to be late. Refer to the phone numbers on your agenda. If your group is more than 15 minutes late for your first activity, we will shorten or cancel scheduled activities/presentations as our students and staff have additional obligations during the day.

Where do we park?

• Bus parking is free. A map to the designated bus drop-off zone and parking lot will be provided.
• For passenger vehicles and vans, we will provide a parking permit for the day for scheduled group visits only.

How do I cancel and reschedule a tour?

• You can call or email us and we will cancel. We will do our best to reschedule your visit.

Can students in my group meet with academic departments while on campus?

• If department staff is available, we are able to add certain presentations to your agenda. For example, we work closely with CAMP, TRiO, and our transfer outreach program. At times, staff from these departments are able to speak to your group during your visit.
• If you would like to meet with an academic or student success department (such as financial aid or housing), you can contact them to schedule an appointment. Visitation is not able to schedule these appointments. Phone numbers and emails for departments are on our website. You can also call our office at 509-963-1262 if you need help finding departmental information.

Will the Wildcat Shop (bookstore/gift shop) be open when we visit?

• The Wildcat Shop is usually open during group visits. Store hours differ during breaks and holidays. Their schedule is available on our website: http://www.wildcatshop.net/

Why are we not able to schedule visits for students in 8th grade or lower?

• Due to staffing restrictions, we are unable to accommodate these groups. Our STEM Department offers limited group visits throughout the academic year to students in 8th or lower. You may contact their department for more information.

We will be on campus for a different event. Can we get a tour while we are on campus?

• Due to staffing restrictions, we are unable to accommodate additional groups and miscellaneous tours. In addition to our high school and transfer student visitors, we also host multiple daily tours for prospective students. We apologize for the inconvenience.

We were unable to find a visit date that works with CWU. Can we come to campus anyway? What can we do on campus if we do not have a group visit program set up?

• While our preference is that groups are able to enjoy a planned group visit, we know that our schedules don’t always match up. At times, we may be able to leave self-guided walking tour guides for your group or even our fun Wildcat Scavenger Hunt. If you still plan to visit campus with your students, we ask that you follow a few simple rules:
  • Groups should not exceed 20 total visitors. Without a scheduled day of activities, wandering groups of 20 or more can become disruptive to academic and campus life.
  • Please tread lightly if you choose to walk through an academic building as classes are in progress.
  • Chaperones must stay with their group at all times.
  • Parking permits will need to be purchased at parking kiosks in designated guest parking lots.

Can we plan an overnight visit?

• Overnight visits are scheduled through our Conference Program: http://www.cwu.edu/conference/
  • Please keep in mind, that during the academic year, space is limited for overnight visits.
  • If you choose to do an overnight in the summer, group visits may not be available.
